2. What data we collect
- Demo / contact requests: your work email, company name, and team size when you submit the booking form.
- Correspondence: the content of messages you send us.
- Technical data: server logs (IP address, browser type, pages visited) generated automatically when you visit, used for security and to operate the site.
- Cookies: see our Cookie Policy.
We do not knowingly collect special categories of personal data. This site is intended for business (B2B) contacts only.
3. Legal bases (GDPR art. 6)
- Demo request & quote preparation: necessary to take steps at your request prior to a contract (art. 6(1)(b)).
- Operating, securing, and improving the website: our legitimate interest (art. 6(1)(f)).
- Optional updates and newsletters: your explicit consent (art. 6(1)(a)), withdrawable at any time.
4. Where your data is processed
Your data is processed within the European Union. Hosting and site delivery are provided by Vercel Inc. Where a processor operates outside the EU, we rely on appropriate safeguards such as EU Standard Contractual Clauses (SCCs).
5. Sharing
We share personal data only with service providers who process it strictly on our behalf (e.g. hosting, email), bound by data-processing agreements. We share data with authorities where required by law. We do not sell your data, ever.
6. Retention
Demo-request data is kept for as long as needed to handle your request and any resulting business relationship, and thereafter only as required by law (e.g. accounting obligations of 7 years). Server logs are kept for a limited period consistent with security purposes.
7. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict, or object to the processing of your personal data, and the right to data portability. To exercise any of these rights, email info@calmworkplace.be. We will respond within one month.
You also have the right to lodge a complaint with the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données — gegevensbeschermingsautoriteit.be).
8. Security
We apply appropriate technical and organisational measures — including access controls, two-factor authentication on administrative accounts, and security monitoring — to protect your data against loss, misuse, and unauthorised access.
9. Changes
We may update this Privacy Policy. The current version and date are always shown at the top of this page. For material changes we will make reasonable efforts to notify you.
